With several contractors entering your site each day, managing their authorisations can be time consuming – but it doesn’t need to be. AEOS offers a range of functionality to make the job easier and much more efficient. AEOS Contractor Management, for example, enables users to easily identify contractors and control their access. While AEOS Response to Expiration generates an alert if a contractor hasn’t been on your site for a set period and therefore needs to redo procedures. Adding AEOS Report Server means you automatically get a summary of this information for all contractors on a pre-set date.

It can be very time consuming to manage the amount of procedures and paperwork contractors must complete before entering an industrial site. Organisations need to keep on top of who needs to do what and who needs to approve it. In most companies this is still a manual, paper-based process, meaning it’s not always clear who needs to approve documents or whether it’s been done already. AEOS Workflow enables companies to automate the process so it’s much more streamlined and procedures relating to authorisations are far easier to manage.
Keep a tight control
If, like many industrial companies, you use contractors to maintain your site, you may have as many as 500 contractors on your premises. And every one has to register at reception before entering. AEOS Contractor Management enables your receptionists to assign personalized authorisations to each contractor and then issue them with a badge. This gives them access only to the departments and zones they need to access for their work, and only for a set period. AEOS also links every contractor to someone in a managerial position. So, even though contractors may be moving around an organisation’s premises alone, their security manager can instantly see where every contractor is, as well as who’s responsible for each one.

Before issuing a badge, your receptionist can use AEOS to check when the contractor was last onsite, or produce a full list of all contractors who’ve not been on-site for a set period. If a contractor hasn’t visited for over six months, for example, they may be required to watch your safety film and read your code of conduct again before they can enter. When they’ve done this, it can be registered on AEOS and the contractor can be issued with an access badge.
Speed up approvals
Usually, organisations may not give contractors access to departments such as research and development. There may be times, however, when contractors need access to these departments to carry out maintenance work. AEOS enables efficient management of the procedures that need to be completed before the receptionist can grant access. If, for example, a contractor needs to sign a non-disclosure agreement, this can be registered on AEOS once it’s been done. AEOS then automatically sends an email to the security manager requesting access rights for the contractor.
When the security manager has approved this, the contractor’s authorisation is automatically updated, allowing them immediate access to the research and development department for the time set.
Identify and manage risks
As security and safety are so strongly connected, it’s vital that companies can easily identify and minimise any risks that could lead to an incident. And if there is an incident you need to be able to manage the situation quickly and effectively. AEOS is a powerful tool to help you do all of this.
